These Terms and Conditions govern use of www.kaimarentacar.com, reservations made through its embedded booking system or other authorized channels, and vehicle rental services provided by Kaima Rent a Car in Costa Rica. The rental agreement signed at vehicle delivery sets out the specific terms of each rental. Mandatory consumer rights and applicable law prevail over any conflicting provision.
Vehicle availability, eligibility, rental category, pickup and return arrangements, and final charges are subject to confirmation. Images are illustrative; a comparable vehicle in the reserved category may be provided when necessary.
Reservations may be requested online or by telephone or other authorized channels. Customers must provide accurate contact, driver, and travel information. For online requests, Kaima Rent a Car will contact the customer by phone or email to confirm the rental, including applicable rental and delivery charges, and issue a reservation number for changes or cancellations.
A reservation is not confirmed until this final confirmation process is completed. If Kaima Rent a Car cannot reach the customer or process a required deposit authorization, a vehicle may not be allocated. Changes are subject to availability and may change the price.
The minimum rental period is 24 hours. The standard minimum driver age is 21. Drivers under 21 may drive only with an additional insurance policy and a driver’s license held for at least two years, subject to insurer approval and applicable law. Confirm the minimum age for this exception and any additional premium before booking.
The renter and every authorized additional driver must present a valid driver’s license recognized in Costa Rica and a valid passport or identification as required. A foreign driver’s license is not valid in Costa Rica after six months; customers must present a passport to verify entry date. This statement is subject to applicable Costa Rican law and should be verified before publication.
Up to three additional drivers may be authorized at no extra charge. All must be identified, licensed, and approved under the rental agreement. Only authorized drivers may drive the vehicle.
Rental charges are calculated on a 24-hour rental basis and depend on the vehicle category, rental duration, selected coverage, and services. The confirmed rate and applicable items will be recorded in the rental agreement. Under the current rental policy, the quoted final rental rate includes mileage within Costa Rica, up to three additional drivers, 24/7 assistance, rental taxes, and the selected supplemental coverage or protection plan, as specified in the confirmation.
The full rental charge is due when the rental begins. Payment may be made by cash, debit card, or credit card, subject to the accepted methods communicated at confirmation. Optional equipment, delivery or return charges, after-hours service, and other disclosed extras may increase the total.
At vehicle pickup, the renter must present a credit card in their own name to authorize the security deposit. The deposit amount depends on vehicle type and selected coverage and requires approval by the card issuer. Accepted credit cards include Visa, Mastercard, Diners Club, JCB, American Express, and Discover. Non-embossed credit cards may be accepted only with prior authorization from Kaima Rent a Car management.
The deposit may secure insurance deductibles, damage, contractual breaches, and traffic-related charges permitted under the rental agreement. After you return the vehicle and we review your obligations, Kaima Rent a Car will request release of the applicable deposit balance. The issuing bank determines when funds become available.
Insurance requirements, exclusions, coverage limits, deductibles, and customer obligations will be disclosed before signing. The historical policy describes the following protection options; their current availability and exact wording must be confirmed against the active insurance contract:
TPD — Third-Party Damage: For physical injury or property damage to third parties up to US$600, the customer is responsible for the full amount. The historical wording requires written evidence of applicable credit-card insurance coverage; otherwise additional LDW is required. The interaction between TPD and LDW should be verified with the insurer.
STPD — Supplemental Third-Party Damage: Supplements TPD. For third-party claims up to US$600, the customer pays the full amount; for claims above US$600, the historical policy states the customer has no damage payment responsibility under this coverage, subject to the applicable policy terms.
SPP — Supplemental Protection Plan: The historical policy describes a zero-deductible waiver for vehicle damage, total loss, or theft, together with the third-party damage allocation described above (customer pays third-party claims up to US$600; no payment for claims above that amount), subject to exclusions and policy conditions.
LDW — Limited Damage Waiver: The historical deductible schedule is:
Event Small / Medium Luxury SUV / Full-size
Vehicle damage US$1,000 US$2,000
Total loss or theft US$2,000 US$3,000
Total loss or theftrance are not automatically interchangeable with any legally required third-party liability protection. The insurer’s current policy and signed rental agreement control, subject to applicable law.
Scheduled pickup and return may be arranged at airports, hotels, accommodations, or other agreed points in Costa Rica. Delivery or return outside Kaima Rent a Car’s offices may incur a charge based on distance and rental duration, disclosed and accepted in advance. Customers should communicate flight delays or changes promptly and inspect the vehicle at handover.
The vehicle must be returned at the agreed place and time with the same fuel level as at delivery. A fuel shortfall will be charged at the applicable refueling rate, which may exceed local service-station prices.
A one-hour grace period applies to the scheduled return time. After the grace period, the hourly late-return rate specified in the rental agreement applies. A return more than four hours late results in an additional full-day charge under the historical policy. Extensions require prior approval and are subject to availability. Early returns do not automatically entitle the customer to a refund.
Mileage is included for driving within Costa Rica. Vehicles may not be taken outside Costa Rica. Drivers must comply with traffic laws and may not drive while impaired, race, use the vehicle for unlawful or unauthorized commercial purposes, sublease it, or drive on beaches, through rivers, flooded roads, or unsuitable terrain without authorization. Misuse may affect coverage and create additional liability.
Each renter is responsible for paying all parking fines and traffic violations incurred during the rental period, along with applicable tolls and related charges. When Kaima Rent a Car intervenes in the collection or payment of a parking fine or traffic violation, a minimum administrative charge equal to 20% of the amount of that fine or violation will be assessed in addition to the underlying amount, subject to applicable law.
Pets may be transported only when protected by a seat cover or carried in an appropriate pet carrier. The renter is responsible for any damage caused by an animal and must pay associated vehicle cleaning and disinfection costs when necessary.
Vehicles must be returned in substantially the same condition, allowing for ordinary wear. The historical schedule specifies a US$100 charge for excessive dirtiness and a US$100 charge for smoking inside the vehicle. Do not duplicate pet-related cleaning and damage charges for the same expense.
Kaima Rent a Car offers 24-hour, seven-day customer assistance in the event of an accident or mechanical breakdown. In an accident, theft, or breakdown, the customer must prioritize safety, contact appropriate authorities when required, notify Kaima Rent a Car promptly, cooperate with reporting requirements, and obtain approval before non-emergency repairs. Coverage and financial responsibilities depend on the applicable insurance and rental terms.
The historical additional-charge schedule provides:
· Lost or stolen license plates: replacement charge starting at US$150.
· Lost, stolen, or damaged mandatory vehicle documents: replacement charge starting at US$150.
· Lost or stolen vehicle keys: US$150–US$500 replacement charge; electronic or vehicle-specific key fobs: starting at US$300.
· Missing equipment, vehicle damage, and other documented costs may be charged as permitted by the rental agreement and law.
Optional items must be requested in advance and are subject to availability. The historical offerings include GPS, child seats and booster seats, chauffeur service, mobile phone, and delivery or return services throughout Costa Rica. Applicable fees and terms will be confirmed. Child safety equipment must be appropriate for the child and used in compliance with applicable law.
The following charges apply to customer cancellations and no-shows, calculated from the scheduled rental start time. A modification that cancels a reservation or reduces its value may be subject to the applicable cancellation charge on the canceled or reduced portion; other modifications are subject to availability and any price difference. Charges are calculated using the total reservation value unless otherwise stated in the confirmed booking terms:
Timing before rental start Charge (% of total reservation value)
More than 78 hours No cancellation charge
More than 36 hours and up to 78 hours 50%
More than 24 hours and up to 36 hours 75%
0 to 24 hours (including scheduled pickup time) 100%
No-show 100%
Requests made more than 78 hours before the scheduled rental start incur no cancellation charge. A no-show is charged 100% of the total reservation value. Refunds of prepaid amounts, if any, are reduced by applicable cancellation charges and are subject to payment-provider processing times. Any exception or waiver must be approved by Kaima Rent a Car management. These charges apply subject to applicable consumer protection law.
The website may embed a reservation engine operated by Renthub or another technology provider. Customers must not submit fraudulent bookings, interfere with website functionality, or attempt unauthorized access. Personal information may be used for reservation administration, verification, payment, service delivery, and compliance, consistent with applicable Costa Rican data-protection requirements and the published Privacy Policy. Third-party providers may apply their own privacy notices.
To the extent permitted by applicable law, Kaima Rent a Car is not responsible for delays caused by events beyond its reasonable control, including severe weather, road closures, natural disasters, or government restrictions. Where such events affect a reservation, available alternatives and applicable refunds or rescheduling will be communicated. Nothing in these terms excludes liability or consumer rights that cannot legally be excluded.
These terms are governed by the laws of Costa Rica. Disputes will be handled under applicable law and the signed rental agreement, without limiting mandatory consumer remedies. Kaima Rent a Car may update website terms prospectively; confirmed contractual obligations will not be changed retroactively except as lawfully permitted or agreed.
